Build the contract control sheet immediately

Record the complete signed agreement, amendments, schedules, property, purchase price, deposit, condition wording, beneficiary, exact dates and times, notice method, possession, inclusions, repairs, credits, tenancy, and every party who must sign. Confirm which document is the current version.

Assign one deadline owner and a backup. Work backwards for lender, appraisal, insurer, inspector, specialist, condo reviewer, lawyer, municipal research, estimate, household decision, and formal notice. Do not rely on calendar memory or a screenshot of one clause.

Confirm deposit delivery and contract status

Verify deposit amount, payee, trust route, delivery deadline, receipt, source record, and any additional deposit. Ask the responsible professional and lawyer about any missed, disputed, diverted, or incorrectly delivered payment and how it affects the live agreement.

Keep deposit status separate from condition satisfaction. A deposit does not approve financing or property risk, and a condition does not eliminate the need to deliver funds exactly as agreed.

Close borrower and property financing separately

Obtain current lender confirmation for income, employment, debt, credit, down-payment source, gifts, mortgage insurer, rate, term, closing date, and outstanding documents. Confirm review of the actual agreement, property type, condominium, suite, occupancy, intended use, condition, insurance, and any lender restriction.

Record what remains subject to appraisal, insurer, document, property, or quality-control review. A verbal update or prior pre-approval is not the same as complete financing evidence for the accepted purchase.

Record whether an appraisal is required, ordered, scheduled, completed, accepted, or still subject to review. Compare appraised or supported value with price, calculate the effect on loan amount and down payment, and identify the exact added cash required under a lower-value case.

Confirm that deposit, down payment, closing, adjustments, repairs, moving, and reserve remain funded. If appraisal evidence cannot arrive in time, ask about a written extension or other lawful option rather than assuming the lender will accept the price.

Give the insurer or broker accurate property, occupancy, use, claims, roof, systems, water, flood, renovation, vacancy, tenancy, suite, and condominium information. Confirm eligibility, underwriting requirements, exclusions, endorsements, deductibles, replacement basis, lender requirements, binding steps, and effective date.

An online quote or broad indication may not bind coverage. If insurance is unavailable, conditional, unaffordable, or based on missing facts, the gate remains open until the appropriate professional confirms the path.

Convert inspection findings into decisions

Separate safety, active damage, failed systems, near-term capital work, maintenance, monitoring, cosmetic items, and unknowns. Route structural, electrical, plumbing, HVAC, roof, sewer, moisture, environmental, fireplace, acreage, well, septic, or other findings to qualified specialists where needed.

Obtain scope, urgency, estimate range, access needs, permit implications, insurer or lender relevance, and residual risk. Decide whether the evidence supports proceed, further review, extension, renegotiation, or stop; a long defect list alone does not make that decision.

Reconcile title, RPR, compliance, permits, and use

Review current title, registered interests, legal description, ownership, RPR or survey, visible structures, compliance evidence, encroachments, permits, inspections, suites, zoning or land-use questions, leases, and intended use. Compare the documents with what was seen and represented.

A City compliance review does not confirm every permit or building-code issue. Assign title and contract consequences to the lawyer, compliance and permit research to the appropriate municipal or survey source, and financing or insurance consequences to those reviewers.

Complete condo, tenancy, and property-document review

For a condominium, review the unit and corporation package, reserve, budgets, financials, minutes, bylaws, insurance, deductibles, arrears, assessments, litigation, parking, storage, and unit responsibilities. For tenant-occupied property, review leases, deposits, notices, rent, access, condition, possession, and legal obligations.

Track requested, received, complete, reviewed, stale, inconsistent, and missing documents. Record the reviewer, question, threshold, and delivery consequence instead of treating document receipt as document approval.

Capture amendments, repairs, inclusions, and credits

Reconcile every negotiated repair, credit, price change, holdback, inclusion, exclusion, leased item, warranty, access promise, possession term, and amendment with the final agreement. Confirm wording, signatures, dates, performance evidence, and who will check completion.

Do not rely on verbal assurances or an expected future document. Ask the lawyer or responsible professional how an unresolved promise should be documented and enforced before conditions are removed.

Issue a proceed, extend, renegotiate, or stop record

For every condition, state the evidence received, reviewer, conclusion, assumptions, remaining risk, cash exposure, deadline, and buyer threshold. Then record the authorized decision and the exact notice or amendment required. Ensure all decision-makers understand the risk being retained.
